CNC Machine Exporter in China: Delivery and Document Checklist

A CNC machine exporter in China coordinates more than overseas freight. The exporter must connect the ordered serial number to its packing, documents, delivery term, import requirements, installation plan and warranty route. Technical acceptance should be closed before shipment; export paperwork cannot compensate for an unresolved machine configuration.

Identify who sells and who exports

The machine builder, contracting seller and exporter of record may be the same company or separate entities. Match the legal names and addresses on the quotation, invoice, packing list and transport documents. Record which party holds the warranty obligation and which party can approve technical changes.

Prepare the document set before the crate closes

  • Commercial invoice and packing list matched to the agreed order
  • Transport document appropriate to the shipping method
  • Machine manuals, electrical drawings, parameter or PLC backups and parts lists
  • Factory test reports and signed open-item record
  • Certificates or origin documents required by the destination and contract
  • Packing photographs, lifting points, center-of-gravity information and loose-item list

Requirements vary by destination, machine and buyer. Confirm them with the importer and customs or compliance professionals rather than copying a document list from another shipment.

Inspect export packing as an engineered task

Risk Control to specify
Moisture and corrosion Cleaning, approved rust prevention, barrier or desiccant plan and exposure assumptions
Movement in transit Axis restraints, base fixing, loose-part control and crate reinforcement
Handling damage Marked lifting points, weight, center of gravity and approved handling method
Missing equipment Serial-linked packing list and photographs before sealing

State the delivery rule and named place

The International Chamber of Commerce maintains the Incoterms rules. The chosen rule allocates defined delivery tasks, costs and risks, but it should always be paired with a named port or place. It does not define machine acceptance, installation, training or warranty unless the contract adds them.

Coordinate the site before the vessel arrives

Check access, unloading, indoor movement, foundation, power, air, coolant, network and lifting. Decide who removes shipping restraints, performs leveling, connects utilities and disposes of packing. Delays become expensive when a technician or crane is booked before the site is ready.

Close the technical handover

Site acceptance should refer back to the approved factory record and state what must be repeated after installation. Collect updated backups and as-built documents after commissioning. CNC Tech can define machine, packing and support scope for the destination when the buyer submits the part, site and delivery details through the contact page.
