How to Prepare a CNC Machine RFQ That Suppliers Can Quote

Prepare a comparable CNC machine RFQ with part data, production targets, utilities, acceptance tests, delivery scope and clearly stated commercial assumptions.

How to Prepare a CNC Machine RFQ That Suppliers Can Quote

A CNC machine request for quotation should give each supplier the same technical and commercial problem to solve. At minimum, include the part files, material and blank, critical features, expected volume, factory conditions, required options and acceptance method. Without those inputs, quotations may arrive quickly but describe different machines, accessories and responsibilities.

Attach the part information engineers need

  • Controlled 2D drawing and a matching 3D model, with revision identified.
  • Material grade, hardness or condition, blank dimensions, mass and incoming variation.
  • Critical datums, tolerances, surface requirements and features that drive tool access.
  • Current operation route, processes that remain outside the machine and required inspection points.
  • Annual volume, batch size, shifts, target cycle and expected product life.

Mark the features that decide acceptance rather than asking for a general “accuracy guarantee.” That lets the application engineer connect the drawing to the fixture, spindle, tooling, probe and test plan.

Describe the factory, not only the component

Area RFQ input Why it matters
Utilities Voltage, frequency, phase, compressed air and local standards Changes electrical scope and site preparation.
Space and handling Floor plan, access doors, crane or forklift limits and foundation constraints Determines delivery, placement and service access.
Environment Temperature range, humidity, dust, coolant and chip material Affects protection, filtration and process stability.
People Operator skill, preferred control, language and training need Changes commissioning and documentation scope.
Integration Robot, bar feed, pallet, probe, network or data interfaces Interfaces must be defined before build release.

Make suppliers state what is excluded

Ask for a line-by-line configuration: machine, CNC control options, spindle, tool magazine, chip and coolant equipment, probing, transformers, guarding, tooling, fixtures, freight, installation, training and spare parts. An exclusion is not automatically a problem; an unstated exclusion is. Require the proposal to identify assumptions and deviations from the RFQ.

Separate technical acceptance from shipment logistics

The factory acceptance test should name the inspections, instruments, conditions, representative part and pass limits. Site acceptance should state what is repeated after installation and who provides material, tools and measurement equipment. Commercial delivery terms answer a different question. The International Chamber of Commerce explains the current Incoterms rules; the chosen rule and named place should appear in the quotation rather than being inferred from a freight estimate.

Use a comparison sheet before negotiating price

  1. Freeze the RFQ revision sent to every bidder.
  2. List each required feature and acceptance item in rows.
  3. Record whether the response is included, optional, excluded or unclear.
  4. Normalize freight, duties, tooling, installation and training assumptions.
  5. Close technical deviations before comparing the final commercial totals.

This sequence keeps a low headline price from hiding a missing option or an undefined service responsibility. It also gives the chosen supplier a clean record to carry into the final contract.

For a configuration proposal, send CNC Tech the RFQ package. The final travel, load, spindle, accuracy, delivery and service values should be taken from the approved quotation, not assumed from a general article.
